Set the Controlled Configuration Before Asking for QC Evidence

Keep a source requirement separate from a buyer commercial control. For example, a buyer may contractually require a receiving-lot field, trace exercise, or printed-material reconciliation even when that control is not itself stated in a legal source.
Require Incoming-Material Records That Preserve Identity
Apply the schedule only to components and packaging items present in the buyer-approved bill of materials. For every buyer-designated incoming lot, request a record containing the supplier, supplier lot, internal receiving identifier, purchase-order reference, buyer part and revision, quantity received, inspection status, disposition, and approved concession reference where applicable.

The supplier response should explain how released, held, rejected, and conditionally accepted material are physically and electronically distinguished. For a measurable characteristic, the buyer should provide or approve the nominal requirement, tolerance, unit, datum, method, fixture or equipment, sampling basis, record field, and disposition rule. For a visual characteristic, define the defect, viewing condition, approved reference, and acceptance rule.
Put In-Process Gates Where Identity or Label Status Can Change
The in-process plan should follow the points where component identity, product revision, claim-linked setting, label version, packaging allocation, or shipment allocation can change.

Treat Regulatory Labeling as Controlled Production Material
Treat a label, instruction, retail carton, and variable-data label as controlled production material when the buyer requirement register links it to a market, product revision, packaging configuration, or shipment allocation. Populate content from the controlled register and approved artwork, not from a generic label template.

Do not treat a mark, icon, sample label, declaration, or general compliance statement as sufficient evidence for a destination-market requirement. Do not move placeholder values into a purchase order until the buyer has reviewed the applicable requirement register, product risk, available process evidence, and containment need.
Require a Retrievable Lot-to-Shipment Chain
The proposed record model should connect:
Controlled incoming lot -> receiving inspection and disposition -> material issue -> work order -> in-process inspection and rework -> finished-goods identifier -> label and packaging revision -> carton identifier -> shipment record
For a backward trace challenge, the buyer selects a shipped carton, finished lot, or finished identifier. The supplier should retrieve the applicable finished-goods record, work order, incoming component lots, in-process results, rework records, artwork revisions, packaging record, deviations, and shipment documents.
For a forward trace challenge, the buyer selects a controlled incoming component or printed-material lot. The supplier should identify related work orders, finished-goods identifiers, cartons, shipments, and agreed reconciliation states, including held, scrapped, returned, or unused quantities when included in the approved scope.
The RFQ should separately state the required identifier level, packaging levels carrying identifiers, retrieval expectation, record-retention period, confidentiality treatment, electronic-export format, and subcontractor-record availability. This framework does not prescribe a universal record-retention period or trace-response time.
Practical RFQ Checklist
Attach this checklist to the RFQ and require a supplier response for every item. Each response should identify the controlled document or record, responsible owner, timing, deviation status, and any price or lead-time effect. An unanswered item is an unresolved quote assumption, not an accepted requirement.
