Use this template to draft the packaging configuration and shipping-protection requirements for a pocket knife SKU before requesting quotations, approving packed samples, or releasing a shipment. The buyer must approve values for the actual SKU and shipping route. Do not leave materials, pack counts, dimensions, restraint features, carton construction, environmental controls, or validation thresholds as undefined supplier defaults.

State whether each dimension is internal or external. Use one dimension order, such as length × width × height, throughout the specification, drawings, quotation, and inspection record.
2. Define the Packaging Hierarchy

For a configuration with inner packs:
- Retail units per master carton = retail units per inner pack × inner packs per master carton.
- External carton volume in cubic meters = external length in millimeters × external width in millimeters × external height in millimeters ÷ 1,000,000,000.
Identify calculated values as estimates until a production-equivalent packed carton has been measured.
3. Specify the Product Shipping State
Define how the knife and every included component must be positioned and restrained. The specification should record:
- Required closed-state configuration and pack orientation.
- Position of the knife, clip, sheath, pouch, tool, documents, and each included accessory.
- Product surfaces permitted to contact an insert, sleeve, tissue, pouch, divider, or carton.
- Prohibited contact between components or between a component and a packaging surface.
- Required cavity, separator, tie, sleeve, cover, or other restraint feature.
- Buyer-defined clearance or movement limit when a numerical limit is needed.
- Required component position after the agreed validation sequence.

If moisture or corrosion control is proposed, require the material identity, quantity, placement, packaging revision, and applicable compatibility evidence. 4. Draft the Retail-Unit Specification

5. Specify the Inner Pack and Master Carton
Inner pack
When an inner pack is used, state:
- Exact number of retail units.
- Unit orientation and row, column, or layer arrangement.
- Rules for mixed SKUs, finishes, colors, or revisions.
- Intermediate carton, tray, wrap, divider, pad, or other construction details.
- Internal and external dimensions, with tolerances where required.
- Closure material and application pattern.
- Label content, revision, location, and orientation.
- Definitions used for net and gross mass.
- Required retail-unit condition after the selected handling or validation sequence.
If no inner pack is used, write *none* and show the retail-unit arrangement directly in the master-carton packing diagram.
Master carton
Control the master carton with a drawing or packing diagram that identifies:
- Total retail-unit count and, when applicable, inner-pack count.
- Layer count, packs per layer, orientation, and permitted unused space.
- Carton style, material specification, construction requirement, joint, and closure method.
- Location and material ID of each divider, pad, liner, corner protector, or void-control component.
- Internal and external dimensions, tolerances, units, and dimension order.
- Maximum gross mass when the buyer, carrier, parcel program, warehouse, or pallet design imposes a limit.
- Shipping-mark and carton-label content, placement, orientation, carton numbering, and revision.
- Mixed-carton prohibition or the exact rules for an approved mixed carton.
- Required carton condition after validation and at shipment inspection.
Require separate proposed and final entries for external dimensions, net contents mass, packaging mass, gross mass, unit count, and calculated external volume. Final entries should reference the measured production-equivalent configuration.
6. Add an Outbound Configuration Only When It Is in Scope
For a palletized shipment, specify the pallet reference, cartons per layer, layer count, carton orientation, total carton count, maximum footprint, overhang rule, total height, total gross mass, wrapping or strapping arrangement, corner protection, and pallet-label placement.
For a parcel-ready shipment, identify the exact retail-unit or master-carton configuration entering the parcel network. Record any buyer-selected dimensional, mass, closure, labeling, and validation requirements.
Do not add pallet or parcel requirements when that outbound level is outside the quoted packaging scope.
7. Record the Approved Configuration
The following figures show how to document pack arithmetic. They are examples only, not product data, approved values, or freight recommendations.

The supplier quotation should replace every example with a clearly labeled proposal. The buyer approval record should identify the accepted values, drawings, packaging revision, and packed sample. The final packing sheet should report measurements from the approved production-equivalent configuration.
8. Convert Shipping Risks Into Acceptance Criteria
Connect each buyer-identified risk to a packaging requirement, supplier response, evaluation condition, and observable pass criterion.

Avoid phrases such as *adequately protected*, *export quality*, or *packed securely* unless the specification also defines the configuration, evaluation method, and observable pass condition.
9. Write the Validation Protocol Before Pack Approval
Select validation conditions for the actual packed configuration, shipping route, sales channel, and buyer-defined risks. Do not add an unsupported drop height, vibration duration, compression load, conditioning cycle, or pass threshold.
The protocol should record:
- Protocol number, revision, author, and approval status.
- Packaging specification revision and packed-sample identity.
- Sample quantity and whether each sample is a prototype, production-equivalent pack, or production pack.
- Actual sample dimensions, gross mass, and pack configuration.
- Conditioning requirement and recorded conditions, when applicable.
- Handling or test sequence, including orientation and severity for each selected step.
- Test parameters only for procedures included in the approved protocol.

10. Set Shipment Acceptance Criteria
Write shipment-release checks against the approved packaging configuration. Define the inspection scope and sample basis for each check.
Confirm as applicable that:
- Product SKU, finish, revision, and included components match the order.
- Packaging revision matches the approved drawings and packed sample.
- Closed state, orientation, restraint, separation, and component placement match the approved pack.
- Retail-unit, inner-pack, and master-carton counts are correct.
- Mixed-SKU rules have been followed.
- Measured dimensions and gross mass are within approved limits.
- Closures, inserts, dividers, pads, and other protection components are present and correctly placed.
- Artwork, labels, shipping marks, and barcodes match the approved revisions and placement requirements.
- Product and packaging condition remain within the stated functional and cosmetic limits.
- Final packing-sheet data match the inspected configuration.
- Required validation, inspection, and deviation records have been submitted and accepted.
Record each nonconformity against a specific requirement number. Any concession or deviation approval should identify the affected requirement, quantity, shipment, disposition, and approving party.
11. Require a Line-by-Line RFQ Response
Use a response schedule that separates supplier proposals from approved values.

Require written buyer approval before changing an approved material, dimension, count, layout, protection feature, closure, label, artwork file, or test condition for production or a repeat order.
Copy-Ready Packaging Clause
> Supplier shall package SKU [SKU] to packaging specification [document and revision]. The approved hierarchy is [quantity] retail units per inner pack, [quantity] inner packs per master carton, and [quantity] retail units per master carton. Product orientation, contact materials, restraint, separation, retail-pack construction, carton construction, closure, labels, and shipping marks shall match approved drawings [IDs] and packed sample [ID]. Supplier shall identify each proposed deviation by requirement number and shall not implement it without written buyer approval. Shipment release requires the final packing sheet and the inspection and validation records listed in this specification.
Purchase-Order Release Checklist
Before release, verify the closed knife dimensions and mass, included components, finish and contact-material review, approved pack counts, route and receiving constraints, destination labeling instructions, retail-unit tolerances, carton construction, packed dimensions, gross mass, validation conditions, acceptance limits, inspection scope, and document revisions.
